Board

The board consists of seven HackPGH members that are elected by the membership. Terms are two years, unless the Board Member chooses to step down before that time. People don't get voted into specific positions; they just get voted into the board, and then the board sorts out among themselves who does what. Not all positions will always be filled at the same time.

Running for the Board

So, you want to be a HackPGH Board Member?

Welcome to the process! You either were nominated by a member at HackPGH and you accepted the nomination or you nominated yourself.

The next step to being on the board is to be elected by the majority of the voting members at HackPGH. Typically this happens a few weeks after nominations close and is done on our Wild Apricot service at members.hackpgh.org. The election runs for 1 week and the current Board encourages members to vote but does not endorse any candidate as an entity. Individual Board members may endorse or encourage others to vote for a candidate but are not required to do so.

The election results will be counted at the end of the election period and the winners will be announced. It is understood that you will accept the election results and join the Board. The election should not be used as a barometer for whether or not you want to be on the Board.

Duties and Responsibilities

  • You will be required to attend a majority of Board meetings (currently Sunday afternoons, but that changes based on circumstances)
  • You will be required to attend at least one Membership meeting per month held on the first Wednesday and third Sunday of each month at 7:30pm.
  • You will be required to give tours at least once a month and be able to train and supervise other members giving tours.
  • You will be required to be responsive to member comments in Slack and in person and direct the attention of other Board members to member concerns in a timely manner.
  • You must keep Board negotiations, files, passwords, documents, and other secure information unavailable to regular members during and after your time as a Board member. For the Board to operate well, trust must be had between all members and know that controversial ideas and conversations will not be leaked as they are often part of the process to reaching a consensus on a decision the Board must make. This often includes the status of other members, repercussions from discussions or actions taken, and reporting of concerns by members to the board either anonymously or with a name attached.
  • You will be expected to be in the shop and available to members for four hours per week although more time available to members is always better.
  • You must understand the concept of inurement and pledge to not use your Board position for any personal benefit. You are a servant to the membership and the shop as an organization. You do not gain extra benefits to yourself, your materials at the shop, or the priorities of your projects or goals while on the Board.
  • You will be required to occasionally enforce the rules of the shop and intervene in interpersonal issues between members. You must maintain a professional, unbiased attitude when doing so.
  • You must learn a variety of administrative tasks and be able to do them when needed. These include:
    • Giving tours.
    • Signing up members in Wild Apricot, Slack, and Skedda.
    • Restocking the vending machine, collecting money from the machines, and storing it properly.
    • Accessing the security camera system and knowing how to archive and export segments of recorded video.
    • Being able to take out garbage and recycling occasionally on Monday nights and know where supplies are.
    • Knowing where supplies are kept and reporting when new supplies need to be ordered to the Treasurer.
    • Knowing where to find passwords and Board documents through Last Pass and Google Drive.
    • Be able to independently schedule classes, polls, votes, and adjust membership details in Wild Apricot.
    • Know where to retrieve mail and how to contact the building owners, Dale and Jeanne McNutt.
    • Have a supportive, connective, reassuring, and professional attitude with members inside the shop as well as parties outside the shop.

Hack Pittsburgh is an organization that is constantly in change. As such, the responsibilities of the Board can and will change as needed, this document is not an exhaustive or final list of everything that you might be required to serve on the Board.
